Reviewing is a very complex part of the process that starts with the call for papers and should result in proceedings. After setting up an adequate submission environment, the assignment of reviewers and the follow-up of their work often becomes a bottleneck for larger conferences. Tog@ther integrates the whole process in its online interface. When authors start submitting content to the different tracks, conveners act according to the review option they selected for the track. In simple reviewing, an item gets accepted or rejected by the convener. This is suited to the needs of posters and abstract submissions. In elaborated reviewing, a convener designs a review form, composed of categories and questions that reviewers use to evaluate the submission. For each question, the importance can be indicated in order to compose a fair and weighted metric for reviewing.

Conveners invite reviewers from within Tog@ther and can also follow up if reviewers decide to formally reject the task of reviewing. Once a reviewer accepts the task, he or she is subjected to a deadline, that is also being monitored by the system. Once this deadline expires, the convener gets notified in order to take appropriate action.

After accepting the task of reviewing, reviewers fill in the review form and can give free text feedback. If required by the convener (or offered as an option), reviewers can upload the document itself with annotations. Avoiding to send annotated documents through email means avoiding errors resulting from the use of wrong versions of the document.

After receiving the feedback, authors get the chance to update their documents for a final review and acceptance by the convener.

Proceedings

In general, proceedings of a conference need to be made available to attendants either during or after the conference. In both cases, this can result in a race against the clock, especially if this process can only start after reviewing and scheduling has been finished. Tog@ther optimizes creation of proceedings by allowing conveners to generate proceedings based on the submissions that have been accepted.
